Total Control offers a bespoke pay by link that allows you to take payments. A pay by link is a technology that allows customers to make payments by sending them a web payment link while they're on the phone, chat or social media, meaning card details do not have to be shared over the phone or text message.
The pay by link feature is only available to merchants with an established ECOM MID issued by the acquirer. If you are not currently integrated with Total Processing, you can reach out to your acquirer to query this information. If you are already trading with Total Processing, feel free to reach out to support@totalprocessing.com.
Pay by Link Dashboard
The tutorial below will give you a walk through on how you can easily locate and manage all of your pay by links within your Pay by Link dashboard. The tutorial also includes an in-depth review of all of the dashboard's features.
To start, go to the navigation bar and click 'Pay by Links'. This will redirect you to the Pay by Link Dashboard which will provide you with a high level overview of all your pay by link transactions. On top of the associated search parameters, you can also locate a pay by link through filters. See the table below for details on the filters you can enter to help you search accurately for a specific transaction.
Filter | Description |
Received By | This is the recipient's name that has received the pay by link. This information will fall into the 'Recipient' column. |
Created By | This is the name of the user that created the original pay by link for the customer. |
Email, Mobile & Reference | This is the information relating to the customer entered when the initial pay by link was created. |
Creating A Pay by Link
If a merchant only has an ECOM MID, the flow will be slightly different from the MOTO flow to tokenising and setting up recurring payments for a customer. The only step that will change is Part 3: Registering a Payment Card. Follow the steps below to help you get started
-
Part 1: Creating a Pay by Link
To start, click on 'Pay by Link' within the Total Control navigation bar. Once redirected to the main Pay by Link dashboard, follow the steps below in order to successfully create a pay by link.
- Click on 'New Pay by Link'.
- Enter all mandatory fields in order to send a pay by link to the customer. Please note, the pay by link will send to all communication methods entered (i.e. email field and phone number field). See the image below as an example.
- Optional: If you would like to add a manual expiry date to your pay by link, click on 'Advanced Options' and choose a specific date. The default expiry for a pay by link is 30 days.
- Click 'Create Payment Link'. Using the example above, both an email and text message will be sent to the customer.
Once complete, click on 'Next' to take you to 'Part 2: Pay by Link Payments' to understand how a pay by link will be received and paid for by the customer.
-
Part 2: Pay by Link Payments
Once a pay by link is sent to a customer, it will be received through email and text message as follows. Please note the following images are based on the image from Part 1: Creating a Pay by Link
- Email pay by link example
- Text message pay by link example
- Once received, the customer will be able to click on the pay by link URL in order to make a payment.
Regardless of whether the customer has paid or not, the pay by link will appear on the Pay by Link dashboard, with fields to indicate its current status. These details can be found in the next chapter; 3: Managing Pay by Links

Pay by Link Management
At times, your customers may delay paying for a transaction through their pay by link, or may need a gentle nudge to pay. The tutorial below will give you a walk through on how you can easily manage these processes under the Pay by Link dashboard.
Under the dashboard, you will be able to identify from the 'Status' column if a pay by link is 'Paid', 'Unpaid' or 'Disabled'. See the table below for a description of these statuses. Following the guidance below to learn how you can pursue an unpaid pay by link with a customer and how to disable the payment links from sending.
Please note, if you need to refund a transaction please refer to the Transactions knowledge article.
Status Description Paid The customer has successfully made a payment through the pay by link. Unpaid The customer has yet to make a payment using the pay by link sent to them. Disabled A user has manually disabled a pay by link for a customer to stop this from being sent again.
-
Disabling and Pursuing Unpaid Pay by Links
Within your Pay by Link dashboard, click on the transaction that is showing with the status as 'Unpaid'. Click on 'Actions'.
You will now see the information regarding what you can do to advise a customer to make a payment. The methods include:
- Disabling a pay by link - This includes deactivating the pay by link from being sent again to the customer. Once disabled, it cannot be enabled again.
- Resend a pay by link via SMS - This will send a new pay by link to the phone number entered in the initial pay by link creation. If no phone number was entered originally, the field will be greyed out.
- Resend a pay by link via email - This will send a new pay by link to the email entered in the initial pay by link creation. If no email was entered originally, the field will be greyed out.
Pay by Link Historical Data
All pay by links you send to customers will include historical information associated with the link. This will provide useful information, such as:
- When the pay by link was created
- When the customer opened the pay by link
- When any additional pay by links were sent to a customer
- When a pay by link was disabled
Check out the image below to see an example of historical information for a pay by link. To find this, simply click on a transaction within the Pay by Link dashboard and click on the 'Transaction History' section.
